Frequently Asked Questions

What is an invoice?

An invoice is a bill you send a client after work is done (or before, for deposits). It lists what you provided, how much each item costs, the total due, and when payment is due. It is both a payment request and a record for your books.

What should I include on an invoice?

At minimum: your business name and contact info, the client's name, a unique invoice number, the issue date and due date, a line-by-line list of items with quantities and rates, any tax and discount, and the total. Payment instructions (check, bank transfer, or payment link) in the notes help you get paid faster.

What is the difference between an invoice and a receipt?

An invoice asks for payment — it is sent before the money arrives. A receipt confirms payment — it is sent after the money arrives. This generator creates invoices; once a client pays, send a short “payment received” note as the receipt.

How do I number my invoices?

Use a simple sequential system starting anywhere, for example INV-1001, INV-1002, and so on. Never reuse a number, and keep the sequence unbroken — it makes your books and tax filing much easier.

What payment terms should I use?

Net 14 (due in 14 days) is common for freelancers and small trades. Net 30 is standard for larger business clients. Shorter terms get you paid faster; whatever you choose, state it on the invoice and in your notes.

Is this invoice generator free?

Yes — completely free, no signup, no limits, no watermark. It runs 100% in your browser, and your invoice data is never uploaded to a server.

Can I use this for contractor or plumbing invoices?

Yes. Load the Plumber / Contractor example to see a typical trade invoice: labor, parts, and tax. Edit the line items to match your job — materials, labor hours, and any trip or disposal fees.

How do I send the invoice to my client?

Click “Print / Save as PDF”, choose “Save as PDF” in your browser's print dialog, then email the PDF to your client. Most clients expect a PDF attachment rather than a link.

What happens after I send the invoice?

Track it. Our free Invoice Tracker logs every invoice you send and flags what is still unpaid or overdue, so nothing slips through the cracks.
